What this policy covers
HUAZH Intralogistics Technology Co., Ltd., trading as HWArobotics ("we", "us", "our"), designs and manufactures automated storage and retrieval systems. This policy explains what personal data we collect when you visit our website or contact us about our products, why we collect it, how we use it, and what rights you have in relation to it.
It applies to all information collected through this website and any related communication — enquiry forms, partner applications, email, and telephone contact — regardless of which of our offices you deal with.
We do not sell, rent or trade your personal data to any third party for marketing purposes. Ever.
What we hold, and how we got it
We collect personal data only when you provide it to us voluntarily — for example when you submit an enquiry, apply to become a partner, request a datasheet, or contact an office directly.
Information you provide
- Name and job title
- Company name, country and website
- Work email address and telephone number
- Project details and requirements you choose to include in your message
- For partner applications, your company type and the markets you serve
Information collected automatically
- IP address and browser type, from our web server logs
- Pages visited and time spent on site, via analytics
- The referring website or search term that brought you to us
We do not collect special category data such as health information, racial or ethnic origin, political opinions, or biometric data. We do not collect financial account details or government identification numbers through this website.
Why we hold your data
We use the personal data you provide solely for the purposes for which it was submitted. Specifically:
- To respond to your product enquiry or quotation request
- To prepare and deliver a tailored technical proposal for your project
- To assess and progress a partner application
- To follow up on an ongoing project or discussion
- To provide after-sales support, spare parts and service for systems you operate
- To send product information you have specifically requested
- To improve our website, based on aggregated and anonymised usage data
We will not use your data to send unsolicited marketing communications unless you have explicitly opted in to receive them, and you can withdraw that consent at any time.
The grounds we rely on
Where the General Data Protection Regulation applies to you, we process personal data on the following bases.
- Legitimate interests
- Responding to a business enquiry you initiated, and maintaining the commercial relationship that follows from it. We consider this to be within your reasonable expectations when you contact a supplier.
- Contract
- Where processing is necessary to prepare or perform a contract with you or the company you represent — quotations, order handling, delivery and after-sales service.
- Consent
- For optional marketing communications and for non-essential cookies. Consent can be withdrawn at any time without affecting processing carried out beforehand.
- Legal obligation
- Where we are required to retain or disclose data to comply with tax, customs, product safety or other statutory duties.
Who else sees it
We do not share your personal data with third parties except in the following limited circumstances.
- Within our group
- Your enquiry may be passed to the HWArobotics office best placed to handle it — for example a European enquiry routed to our German or Austrian team. All offices operate under the same standards set out in this policy.
- Service providers
- A small number of trusted providers operate our website and business systems: hosting, email, CRM and analytics platforms. They process data only on our behalf, under contract, and may not use it for their own purposes.
- Partners and integrators
- Where your enquiry is best served by one of our system integrators, we will tell you before passing your details on, and only do so with your agreement.
- Legal requirements
- We may disclose data where required to do so by law, or in response to a valid request from a public authority.
- Business transfers
- In the event of a merger, acquisition or sale of assets, customer data may be transferred as part of that transaction. We will notify you before your data is transferred and becomes subject to a different privacy policy.
Where your data goes
We are a global business. Our manufacturing and engineering operations are in Nanjing, China, and we maintain sales and support offices across Asia-Pacific, Europe, North America, Latin America and the Middle East. Handling your enquiry may therefore involve transferring your personal data outside the country in which you are located, including to China.
We maintain established offices in Germany and Austria. Enquiries from the European Economic Area are handled by those offices, which act as our establishments in the European Union for the purposes of the General Data Protection Regulation.
Where personal data is transferred out of the European Economic Area or the United Kingdom, we put appropriate safeguards in place — ordinarily the European Commission's Standard Contractual Clauses, together with technical and organisational measures appropriate to the data concerned. You may request a copy of the safeguards applying to your data using the contact details below.
What we set, and why
Our website uses cookies to make the site work, and to understand how visitors use it. Cookies are small text files stored on your device.
- Essential
- Required for basic site functionality such as page navigation, form submission and security. These cannot be disabled.
- Analytics
- Help us understand which pages are useful and where visitors encounter difficulty. They do not identify you personally, and we use the results only in aggregate.
- Preference
- Remember settings such as language or region so you do not have to select them on every visit.
You can control or disable cookies through your browser settings at any time. Disabling cookies may affect the functionality of some parts of the site.
How long we keep it
We retain personal data only for as long as is necessary for the purpose it was collected for, or for as long as we are required to keep it by law.
- Enquiries
- Where an enquiry or quotation does not proceed, contact details are retained for 24 months from our last contact with you, then deleted.
- Customer and project records
- Where a system has been supplied, we retain project and contact records for the operational life of that system plus ten years. This reflects the statutory liability period for machinery and allows us to supply spare parts and service support.
- Accounting records
- Invoices and related records are kept for the period required by applicable tax and company law, which is generally between six and ten years.
- Website analytics
- Retained in aggregated, anonymised form for up to 14 months.
You may request deletion of your personal data at any time — see Your rights below.
What you can ask us to do
Depending on your location, you have the following rights regarding your personal data.
- Access
- Request a copy of the personal data we hold about you.
- Rectification
- Request correction of data that is inaccurate or incomplete.
- Erasure
- Request deletion of your personal data, where we have no overriding legal reason to retain it.
- Restrict processing
- Request that we limit how we use your data while a query is resolved.
- Data portability
- Request a machine-readable copy of the data you provided to us.
- Object
- Object to our processing of your data in certain circumstances, including any processing based on legitimate interests.
- Withdraw consent
- Where processing is based on consent, withdraw it at any time.
To exercise any of these rights, contact us using the details below. We will respond within 30 days. If you are in the EEA or UK and are not satisfied with our response, you have the right to lodge a complaint with your national data protection supervisory authority.
How we protect it
We take reasonable technical and organisational measures to protect personal data against unauthorised access, loss or disclosure. Our website is served over HTTPS, and our business systems are hosted on access-controlled infrastructure. Access to enquiry and customer data is limited to staff who need it to do their job.
While we strive to protect your data, no method of transmission over the internet is completely secure. If you believe your data has been compromised, please contact us immediately.
Sites we don't control
Our website may contain links to third-party websites and resources, including certification bodies, partner companies and social platforms. We are not responsible for the privacy practices or content of those sites. We encourage you to review the privacy policy of any third-party site you visit.
Keeping this current
We may update this privacy policy from time to time to reflect changes in our practices or in applicable law. When we do, we will update the "last updated" date at the top of this page. We encourage you to review this policy periodically.
For significant changes that affect how we handle your data, we will make reasonable efforts to notify you directly.
